For scanned PDF tables, require more than a spreadsheet download. Each extracted value should retain its document version, page and source location, together with the row it belongs to. A reviewer must be able to check a suspicious quantity without searching the entire PDF again.
This is particularly useful for administrative schedules that become purchasing, fulfilment or quote records. It does not establish whether the underlying specification is technically suitable. The goal is faithful, reviewable transcription.
A purchasing schedule with one dangerous shift
Consider a fictional three-page furniture request, F-208. Page two contains row 17, “Visitor chair”, quantity 12, finish “Blue”; row 18 contains “Meeting table”, quantity 2, finish “Oak”. In a scan, the horizontal line between those rows is faint.
An extraction result that gives the chairs quantity 2 may still look plausible. Checking that every quantity is numeric will not catch it. The reviewer needs to see both the quantity cell and the row label in the source, not just a cropped number.
| Field | Example value | Why retain it? |
|---|---|---|
| Document version | F-208 revision B | Distinguishes later amendments |
| Page and row | Page 2, source row 17 | Locates the record |
| Raw text | 12 | Preserves what was read |
| Accepted value | 12 chairs | Records the reviewed interpretation |
| Evidence region | Quantity cell plus row heading | Shows the association being checked |
Design the review around relationships
Put the page beside the proposed table. Selecting a row should highlight the source row; selecting a flagged field should reveal enough surrounding context to interpret it. A tiny crop can obscure a column heading such as “packs” or “units per pack”.
Preserve the original image while allowing a rotated or enhanced viewing copy. Record which version the extraction used. If a reviewer corrects a value, retain the proposed value and the correction rather than replacing the history silently.
AWS identifies merged cells as one source of inconsistent table extraction. Include that layout in the test if it occurs in your files. Do not assume a high-quality scan removes structural ambiguity.
Checks a buyer can request
- Every output row points to a source row or is explicitly marked unresolved.
- Repeated headers are excluded from the business records.
- Blank cells remain distinguishable from zero values.
- Footnotes and continuation text stay attached to the relevant item.
- Totals are compared with extracted rows, with differences displayed.
- CSV exports include stable row identifiers and document references.
A matching grand total is useful evidence but not a complete acceptance test. Two quantities can be swapped while leaving the total unchanged. Test the row-to-value relationship directly.
Decide what cannot be resolved automatically
A crossed-out quantity, handwritten addition or unreadable margin note should generate a specific review task. For the furniture example, “quantity unclear on row 17” is actionable; “document confidence low” leaves the reviewer to rediscover the problem.
When the page itself is missing, do not manufacture rows from the sequence. Show that pages one and three were received while page two remains absent. Also distinguish a source row number from the row’s position in the exported spreadsheet, because sorting will change the latter.
Test the handoff, not just the reader
Ask an authorised staff member to label the expected rows in representative files. Run a trial with clean scans, awkward layouts and deliberately incomplete submissions. Measure missing rows, incorrect associations and the effort needed to resolve each exception.
Finally, export the reviewed result into the intended downstream format and reopen several records from there. Evidence links must remain usable after import. A convincing extraction screen is insufficient if the next person receives an untraceable spreadsheet.
A focused document workflow can start with one schedule family and one receiving system. Keep the pilot limited until staff can follow a value from the source, through correction, to the final handoff.
